Job Description
The Independent Association of Prep Schools (IAPS) have an opportunity for a temporary Events Administrator to join their Education, Advice, Sport and Training (EAST) team to cover maternity leave. The role is on a full time basis working 35 hours per week. In return you will receive a competitive salary of £24,000 – £26,000 per annum.
The Events Administrator is required to provide administrative and organisational support for the courses and sports programme. A keen interest in sport and the provision of delivering sports events for children is highly desirable. The EAST team delivers high quality courses and conferences and an extensive sports programme for over 650 of IAPS member schools in the UK and internationally.
Main Duties:
Act as first point of contact for school and parent queries
Monitor the sport inbox and respond or forward on to relevant persons in a timely manner
Respond to emails relating to your allocated courses
Provide administrative support for the sports programme of events and allocated courses including, but not limited to setting up sports events and courses on Eventfolio, monitoring event booking take up and attending events as and when required, to support and co-ordinate operations on the day
Monitor participation numbers and report to the SEM termly
Clerk and minute the termly IAPS Sport Committee meetings
Keep the CRM database up to date
Produce reports from the CRM and Eventfolio as required
Create and update promotional materials
Liaising with the accounts team over payments and financial queries
To undertake administrative duties as required and any other reasonable duty that the ECCM, SEM, or DoES may require from time to time.
Experience, Skills and Attributes Required:
Prior experience in event administration and delivering online events (via Zoom, Microsoft Teams)
Strong administrative and IT skills (including Microsoft Outlook, Word & Excel)
Excellent communication skills (written, verbal and face-to-face)
Good time management skills and the ability to priorities workload
Ability to work under pressure in a fast-paced environment and meet tight deadlines
Experience of developing and maintaining positive working relationships with colleagues, stakeholders and partners
Strong attention to detail
An interest in sport and delivering sports events for children
A pro-active and can-do attitude
The ability to work unsupervised, independently and using own initiative
Experience creating tournament draws and schedules for events (desirable)
Clerking and minuting meetings (desirable)
Willing to travel, stay overnight and work flexibly to coordinate and administer events outside of normal working hours
Full driving licence and use of a vehicle
